Guide to Project Registration for Industrial and Semi-Industrial Projects

To place an order for an industrial or semi-industrial project with the company, please follow the steps below and review the company’s policies.

Step 1: Free Consultation

Initially, to discuss project execution methods and select the appropriate software, have a complete and free consultation with our chemical, oil, and gas engineering experts. You can proceed through one of the following methods:

– Request an in-person meeting at the company’s headquarters (Shiraz).

In all three methods, our specialists will respond to you as quickly as possible and discuss the project and its completion process with you.

 Step 2: Send Information

In the next step, please send the relevant information and data regarding the project (if available) to our experts. All requests and expectations, including training, additional reports, optimization, industrial studies, etc., must be clearly stated.

Step 3: Cost and Time Estimation

After thoroughly reviewing the order information and estimating the project cost, a pro forma invoice (if necessary) along with a contract document will be sent to you. The project delivery time will be estimated based on standard conditions and communicated to the contractor at this stage. If the delivery date does not align with the contractor’s expectations, a mutually agreed project cost will be reported based on the chosen timeline.

Step 4: Project Registration

The amount stated in the contract will be received as a down payment (typically 50% of the project cost or, for higher-cost projects, in several installments during the project progress). Once the down payment is made, the project execution process will begin.

Step 5: Project Execution

The project will be carried out by specialists within the designated timeframe, and all details mentioned at this stage will be prepared for delivery.

Step 6: Project Delivery

After project completion, pictures of the project or a report will be sent to you. After paying the remaining amount, all project files will be delivered to you.

Step 7: Support

After the project delivery, unlimited support time is available for project inquiries. If modifications and adjustments are needed, our team will make the changes free of charge (please review the policies). There is no time limit for modifications, and whenever the contractor requires changes (if the fault lies with the company experts), they will be carried out promptly according to their specifications.

Project Pricing and Execution Time

Due to the custom nature of the projects, project costs vary and need to be evaluated and quoted by our experts. In light of the tender nature of the projects, we will refer the lowest price proposal to you while considering our specialists’ expertise, ensuring that we deliver the highest quality to our clients at the lowest cost.

For client convenience and assurance, 50% of the project amount is to be paid as a down payment. In standard cases, if a project is canceled by the client within 48 hours of delivery, the amount paid will be fully refunded.

Project execution time is subject to agreement. It should be noted that any request for a shorter timeframe during ordering will lead to increased project costs, which will be mutually agreed upon.

 Policies

Every organization or company requires a strategic program under the title of regulations or system documents to create order and discipline in the workflow process. Regulations in general and specific policies, independent of higher laws such as labor laws, tax laws, and commercial laws, contain rules and provisions that not only do not contradict general and specific laws but also assist organizational units and workers in defining organizational behaviors (both between units and among staff) without ambiguity, thereby contributing positively to the company’s ultimate objectives.

For project execution, a contract is established between APIPCO, referred to as the “Contractor,” and the person ordering the project, referred to as the “Client.”

Company rules

Article 1:

To maintain the confidentiality of clients and freelancers, revealing identities to one another is completely prohibited. This ensures that the identity of the client is not disclosed to freelancers (experts) and vice versa. Under no circumstances will this happen to the client and company employees. The responsibility for compliance by both parties (the client and expert) lies entirely with the board members and specialists of the company.

Clause 1: All matters related to simulations (such as simulation conditions) must be sent in writing. Simulation software, modeling, meshing, and analysis must be clearly specified. Otherwise, selections will be made solely at the discretion of the contractor experts.

 Article 2:

The fee paid for project registration will not be disbursed to the experts until the project delivery date and final settlement.

 1: Given the high number of experts and their experience in the company, an advance payment can be arranged with the approval of the CEO or company president.
2: If, due to circumstances, the services listed in the contract increase by mutual agreement, the contract amount will be adjusted accordingly and attached as an addendum to the main contract.
3: In case of delay in report delivery by the contractor, 5% of the phase amount will be deducted for each month. If the delay is due to the client’s actions, the phase amount will increase by 5% per month.

 Article 3:

No project will commence without an advance payment.

Clause 1: The response time and contact with the relevant experts are available every day of the week from 9:00 AM to 9:00 PM.

Article 4:

The advance payment for each project depends on the total project cost and cannot be less than 30%. This means the minimum advance payment for any project, regardless of cost, is 30%.

 Article 5:

The advance payment is refundable within 48 hours (two days). After that, the amount paid will be deducted based on the project’s progress percentage, and the remaining amount will be returned to the individual as soon as possible (within 2 working days).

Clause 1: If an individual places a project order with an advance payment and cancels it on the final delivery day, not only will the advance payment not be refunded, but the project will also not be delivered to them. The client is obliged to pay the remaining amount and will receive the files only after final settlement.

 Article 6:

Project registration and the deposit of the advance payment signify acceptance of the company’s regulations.

 Contractor Commitments

a) The contractor will operate within the framework of the service description in the contract using modern scientific and research methods and will provide the results to the client.
b) The contractor will prepare interim progress reports and final project files according to the scheduled timeline and send them to the client.
c) The contractor will not disclose the documents arising from this contract to any third parties without prior coordination with the client.
d) The contractor will train the client on the activities performed and the methods of result extraction either in person, via communication software, or through instructional videos.

Client Commitments

a) The client must pay the contract amount as per Article (3) to the designated account holder.
b) The client is obliged to provide facilities, resources, and information related to the subject of this contract at the beginning of the work or as requested by the contractor during the project phases. All design and simulation requests should be meticulously communicated to the relevant expert. Otherwise, project execution conditions will be applied at the discretion of the company’s experts.
c) The client must communicate their feedback within one week of receiving the interim and final reports. Failing to do so will imply that the reports are deemed approved by the contractor.
d) The client must notify the contractor in writing upon the completion of the contract.
e) The client must deposit the budget pertaining to each phase into the company’s account after each phase’s completion and results approval, as per the scheduled timeline in the contract, and present the receipt to the contractor.
